JOB DESCRIPTION :

 

Position Summary

Our Part-Time Project Manager will contribute to the development of a variety of market and special event initiatives to build an active and diverse public market space through collaborative visioning, concept development, and programming production; working closely with Director, market managers, and client representatives to bring the concepts developed through design development into implementation. This role will develop the planning, development, design, research, permitting and budgeting for new and recurring markets and special events.

 

Work Environment & Operations

The position operates virtually, without a central office. The position may require up to 80% virtual work and up to 20% travel for site visits and to engage in meetings with Director, clients, and government agencies, as necessary. Our programs operate in various satellite locations throughout Washington D.C. Expense reimbursements are available with appropriate documentation. Company communication is executed mostly through email and teleconference. This flexible part-time position may require up to 20 hours/week, including occasional evening and weekend availability.

Compensation

$15,000-$25,000

 

Duties & Deliverables

The Part-Time Project Manager performs a wide range of duties including, but not limited to, the following:

  • Assisting in event planning, design and production while managing all project delivery elements within time limits
  • Collaborate with internal stakeholders to identify their needs and to ensure customer satisfaction
  • Conduct market research, gather information and negotiate contracts
  • Propose ideas to improve provided services and event quality
  • Participating in programming meetings, site visits and other planning meetings with staff and clients
  • Assist with creating production rundown and documents
  • Assist with the event preparation process
  • Organize performer and programming ideas and participants
  • Assist with onsite coordination process – including liaising with Director, contractors, stakeholders, etc.
  • Develop cost estimates for contractual items as needed for all events
  • Assist or lead on securing site, including researching legal provisions, permits, regulations, boundaries, and government processes, as well as coordination with venue owner/government on logistics, vehicle access, facilities and on-site management.
  • Perform site visits and participate in venue negotiations for space, services and support for event.
  • Review and assist in event marketing, website content, ad placement and other similar media as requested.
  • Oversee administrative and logistics actions required to ensure a successful event.
  • Coordinate and collaborate with team assigned manager for events.
  • Pre-event responsibilities for assigned events to include: producing attendance data, financial reports, service contractor deliverables and invoices, and client POCs on logistics.
  • Remain accessible and resourceful to market team, client POC and Director, addressing any concerns, questions and complaints in a professional manner.
  • Manage and support Director with recruitment, application process and potential exhibitor response.

General

Proficiency in Microsoft Excel, Google Docs, Design Software (Adobe Acrobat & Photoshop required). Graphic design, strategy, copywriting/proofing

Requirements
Knowledge, skills, and abilities

Access to computer and telephone to accommodate daily business correspondence.

 

Bachelor’s Degree and at least 2 years of experience in related field

 

At least 2 years of experience in full-service, high-end hospitality or event production environment as a Manager or Assistant Manager for reputable hospitality/event organization.

 

Demonstrated success in executing logistical details, to include best practices, customer and employee needs and short and long term strategic plans.

 

Ability to meet deadlines with minimal supervision due to the virtual and site specific operations of the organization.

 

Superior communication skills, both written and oral.

 

Possess a passion for public space and markets


Proficiency in the use of computers for:

  • Microsoft Word
  • Graphic Design Skills using Design Software (Photoshop, Adobe Acrobat, etc)
  • Google Suite (Gmail, Drive, Calendar & Meet)
  • Zoom, StreamYard
  • Web Browsers such as Google Chrome & Safari
  • Event Management Websites (Ticketing, Virtual Venues, Software Tools)
